Scheduling Software for Cleaning Businesses: Plan Your Week by Area
Ask any cleaner what makes a bad week and you’ll hear the same thing: jobs scattered all over town. Five cleans a day is easy when they are ten minutes apart. It is exhausting when there is half an hour of driving between each one.
Good scheduling for a cleaning business is mostly about geography. Here is how to plan your week so the work clusters together, and what scheduling software should do to help.
Split your area into zones
Look at where your clients actually are and divide your service area into a few zones, by ZIP code or postcode. Most cleaners end up with three to five. Then give each zone its own days: the north side on Mondays and Thursdays, the town centre on Tuesdays, and so on.
Clients in a zone only get offered that zone’s days. Most are happy with that, especially regulars who like a fixed day anyway.
Schedule regulars first
Your regular clients are the backbone of the week. Put them in first, on their zone’s days, then let one-off cleans fill the gaps around them. When a regular finishes a clean, book their next one before you leave.
Use real job lengths
Set a length for each type of clean, and be honest about it. If a three-bedroom regular clean really takes three hours, a two-hour slot just makes you late for everything after it.
Build in travel time
Add a gap between jobs for travel, packing up and the unexpected. Even inside one zone, ten or fifteen minutes between cleans keeps the day calm.
Cap how many jobs you take a day
A daily limit protects you from overbooking a zone, especially on long cleans. When the day is full, the software should stop offering it.
Scheduling a team
With more than one cleaner, give each person the jobs in their zone for the day, and make sure each can see only what they need: their jobs, addresses and client notes.
What scheduling software should handle for you
- Different days for different ZIP codes or postcodes
- Job lengths per service and a travel gap between jobs
- A daily cap on bookings
- Assigning jobs to team members
- Blocking out holidays and days off in one go
- Syncing everything to your Google Calendar
How ZipScheduler does it
In ZipScheduler, each service area has its own working days and hours, so clients only see the days you are in their zone. You set service lengths, a travel gap, and a daily limit, assign bookings to team members, and block out closures for the whole business. Bookings sync to Google Calendar.
